Stock sync from Konto to WooCommerce

Stock sync from Konto runs automatically every 15 minutes, keeping WooCommerce up to date — no manual work needed. Konto is always the master: change stock in Konto and the shop follows automatically. When an invoice is issued, Konto draws units from lots in the correct order and records which lots were used directly on the order. This guide assumes the Konto plugin is already installed and connected — see Setup (part 1 of this series).

  1. 1

Stock sync from Konto: set the SKU on each product

Go to Products → Edit product → Product data → Inventory. Enter the Konto item number in the “SKU” field — in the screenshot this is “1”. The sync is built on the rule that SKU = item number in Konto and automatically enables “Track stock quantity” for matched products; you do not need to do this manually.

    • Variations with their own SKU are each linked to the Konto item that shares the same item number.
    • Variations without a SKU are linked through the parent product and use its stock level.

Enable sync in the Konto settings

Go to WooCommerce → Settings → Payments → Konto → Inventory. Check that “Inventory add-on: active” appears at the top of the page — if not, enable the Konto Inventory add-on under Settings → Inventory in Konto (see the Konto stock guide on heim.konto.is). Then tick “Sync stock from Konto inventory (lots) every 15 minutes” and click “Save changes”.

Check sync status and sync immediately

At the bottom of the settings page, “Stock sync status” shows:

    • When the last sync ran and how many products were updated or left unchanged.
    • Konto items with no lots registered.
    • WooCommerce SKUs not found in Konto, e.g. “SKUs not in Konto: MUG-1, R-1” — those products are left untouched.
    • The scheduled time of the next automatic sync.

Click “Sync stock now” to get an immediate update without waiting for the next 15-minute cycle.

Confirm stock levels from Konto in the product list

Go to WooCommerce → Products. In the “Stock” column you will see updated figures, e.g. “In stock (33)”. The number reflects sellable stock (non-expired lots) minus units awaiting invoicing in Konto. Always change stock in Konto — the next sync will overwrite any manual changes in WooCommerce with the figure from Konto.

Invoices draw from lots in the correct order

When Konto issues an invoice it draws units from lots in the correct order — the lot expiring soonest is used first (FEFO). On the order in WooCommerce you will see a note such as:

    “Konto invoice MRFS-1055 issued with a bank claim. Konto lots: 1: R-2609 × 2; 2: P-2026 × 1”

Expired lots are never used. For details on refunds and how stock levels from Konto are updated after a return, see part 3: Refunds and credit notes.

Set SKUs on all products before enabling stock sync from Konto

Products without a matching item number in Konto are left untouched — the sync ignores them and their stock level in WooCommerce stays unchanged. Check “Stock sync status” to see which SKUs have no match and add them to Konto if needed.

An order awaiting invoicing holds its units in reserve

While an order has not yet been invoiced in Konto, the stock level in WooCommerce may be lower than in Konto — this is intentional to prevent the same unit from being sold twice.

Register stock and lots in Konto

All stock management happens in Konto. Register stock levels and lots there (see the Konto stock guide on heim.konto.is) — WooCommerce fetches them automatically at the next sync.

Common questions

Stock from Konto or WooCommerce — which system wins?
Konto is always the master. If you change stock manually in WooCommerce, the next sync — which runs every 15 minutes — will overwrite it with the figure from Konto. Always change stock in Konto.
How often does stock sync?
Automatically every 15 minutes. You can also click “Sync stock now” under “Stock sync status” to sync immediately at any time.
What happens to products that are not in Konto?
The sync has no effect on them. WooCommerce products whose SKU is not found in Konto appear under “SKUs not in Konto” in the sync status section. Add them to Konto and set the item number as their SKU to include them in the sync.
Do expired lots count towards stock?
No. Only non-expired lots count towards sellable stock — expired lots are never sold and do not appear as available stock in WooCommerce.
What about product variations?
Variations with their own SKU are each linked to the Konto item with the same item number and synced individually. Variations without a SKU are linked through the parent product and use its stock level.
What happens when I refund an order — does stock go back?
Yes, units are returned to the lot when the refund is correctly processed. See part 3: Refunds and credit notes for details.
